Privacy statement

Van Reenen places great importance on the protection of your personal data. In this privacy statement, we want to provide clear and transparent information about how we handle personal data.

We do everything we can to safeguard your privacy and therefore handle personal data with care. Van Reenen complies in all cases with applicable laws and regulations, including the General Data Protection Regulation (GDPR). This means that, among other things, we:

  • Process your personal data in line with the purpose for which it was provided. These purposes and the types of personal data are described in this privacy statement;
  • Limit our processing of your personal data to the data strictly required for the purposes for which it is processed;
  • Ask for your express consent where required for processing your personal data;

  • Do not pass personal data to other parties unless this is necessary to deliver on the purposes for which it was provided;

What personal data do we process?

"Personal data" means any information by which a natural person ("the data subject") can be (indirectly) identified or is identifiable. The personal data we may process about you includes, among other things:

  • Name, full first name(s), initials, title and/or gender;
  • Address and place of residence;
  • Email address, (mobile) phone number, fax number;
  • The company you work for and/or your role;
  • Additional personal data such as identity document, date of birth, nationality and marital status;
  • Financial information, such as your bank account number;
  • The IP address of the device you use to visit our website;
  • Application data;
  • All other personal data we obtain from or about you, or that we ourselves can request, and that we use for the purposes mentioned below.

How do we obtain personal data?

We obtain your personal data when you provide it to us, for example when you or your organisation engages us, when you or your organisation supplies products and/or services to us, when we load and/or unload goods at your address, when you visit our website, fill in a form on our website, apply for a job and/or take up employment with us, request a quote, or have phone conversations or email contact with us. We also draw on information from public sources and/or websites.

Why do we process personal data?

We process personal data for the purpose of our services and partnerships. Specifically, we process your personal data for the following purposes:

Carrying out assignments

We process the data needed for the preparation, execution and completion of assignments given to us. We also use your data to inform you about changes to our services.

Compliance with legal obligations and (professional) rules

We process personal data to comply with legal obligations and the professional rules that apply to us, such as identification, data verification, administrative requirements and/or retention periods.

Job applications

In the case of a job application, we receive your personal data. We retain this data for up to four (4) weeks after the application process ends, unless you have given us your express consent to retain it for longer. In that case, we retain the data for up to one (1) year after the end of the application process. That allows us to contact you in the future about a suitable new vacancy.

On what grounds do we process personal data?

We process your personal data only when there is a legal basis for doing so, namely on at least one of the following grounds:

  • For the performance of a contract;
  • To comply with a legal obligation;
  • With your consent;
  • On the basis of a legitimate interest.

With whom do we share personal data?

For the purposes of carrying out the assignment, it may be necessary for us to share your personal data with third parties. This may, for example, occur in the following cases:

  • To enable us to carry out our assignment;
  • To comply with legal obligations;
  • When external suppliers are engaged, such as our IT supplier.

If a third party processes your personal data as a processor for Van Reenen, we conclude a processing agreement with that party in line with the requirements of the GDPR. If a party is an (independent) controller, that party is also responsible for processing the relevant data and for compliance with the GDPR.

How long do we retain personal data?

Van Reenen complies with statutory retention periods. In any event, we do not retain your personal data longer than is necessary for the purpose for which we process it. For our financial administration, we apply a retention period of seven (7) years.

How is personal data secured?

Van Reenen has taken appropriate technical and organisational measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised alteration of your personal data.

Website and cookies

Van Reenen uses functional, analytical and tracking cookies. A cookie is a small text file that is stored in your browser on your computer, tablet or smartphone the first time you visit this website. Van Reenen uses only cookies with technical functionality. These ensure that the website works properly and that, for example, your preferences are remembered. Cookies are also used to make the website work well and to optimise it.

In addition, we place cookies that track your browsing behaviour so we can offer tailored content and advertising. On your first visit to our website, we informed you about these cookies and asked your permission to place them. You can opt out of cookies by setting your internet browser to no longer store them. You can also delete any information stored previously through your browser settings.

What are your rights?

You have the right to access, modify and delete your personal data. You also have the right to data portability, meaning you must be able to easily receive your data so you can pass it on to other organisations.

To access, delete or correct your personal data, or to exercise your right to data portability, you can send a request via the contact form. Van Reenen may ask you to identify yourself with a valid identity document before processing your request. We will respond in writing to your request within four (4) weeks.

There may be circumstances in which Van Reenen cannot give effect, or full effect, to your request as a data subject. This may be due, for example, to a statutory retention period, or because we still have to (in part) carry out the agreement or its closure.

Rights regarding your data

You have the right to access, rectify or delete the personal data we have received from you. You can also object to our processing, or that of one of our processors, of your personal data (or part of it). You also have the right to have the data you provided transferred by us to yourself, or, on your instructions, directly to another party. We may ask you to identify yourself before we can act on these requests.

If we process your personal data on the basis of your consent, you always have the right to withdraw that consent.

Changes to this privacy statement

The rules around the protection of personal data and our business operations may change. Van Reenen therefore reserves the right to make changes to this privacy statement. The most up-to-date privacy statement is always available on our website. This statement was last amended on 25 May 2018.
